Customer order emails are a tempting place to start ERP automation. They are repetitive, time-sensitive, and often handled by people who spend too much of the day copying item codes, quantities, delivery details, and customer notes from an inbox into ERP.

What the automation should and should not do
A sensible first design does not give an AI agent free control over the sales ledger. It narrows the workflow to a bounded task: read a customer request, identify the customer, extract order intent, match items, check key conditions, prepare a quote or draft order, and route exceptions to a reviewer.

- An order where one item is unavailable and the customer would accept a substitute only if delivery is not delayed.
- A customer with special pricing, a credit hold, and a request for urgent delivery.
- A revised order email that changes quantity after the first draft quote has been prepared.
- A suspicious or malformed request that should stop rather than create a transaction.
What to ask Business Central partners
For Business Central, ask whether Sales Order Agent is available in the customer tenant and region, which release wave and app settings apply, and which licences or Copilot consumption costs may be relevant.
Require a walk-through of setup, mailbox connection, role permissions, reviewer tasks, item availability checks, pricing behaviour, customer email drafting, quote creation, order conversion, and what happens when an extension changes sales-document logic.
